This is our event Terms & Conditions providing everything you need to know if you are attending our event as a visitor or trade customer. Electric Vehicles Festival Ltd Terms & Conditions 2024 Updated 15th June 2023.
1. All Electric Vehicles Festival Ltd Entrance Tickets are non-refundable, unless the event is cancelled due to UK Government Guidelines or if the venue cancels due to adverse weather or unforeseen circumstances. If this occurs a full refund will be available less any ticketing administrator’s fees, or the offer of the transaction being carried forward to a future event.
2. All Trade Stands require a £100.00 deposit payable on acceptance of the Trade Stand Offering. Full Payment is required 56 days prior to the event date. No Refunds will be given after 56 days. Please be aware the Electric Vehicles Festival will go ahead unless extreme weather is forecast or the venue has unforeseen circumstances. If the event is cancelled due to UK Government Guidelines or as mentioned above you will be offered the opportunity to carry any monies paid over to a future event date, helping to support the events future.
If cancelation by yourself after the 56-day period you will be given the option to transfer to the following years Electric Vehicles Festival. This does not apply to any Sponsorship please refer to 2b.
2a. All Sponsorship including any Zones and Awards requires payments in full before any sponsorship will commence. Sponsorship will only be for a one-year event i.e., 2024 unless otherwise stated and further agreements have been made, these must be in writing and signed by both parties.
2b. All Sponsorship is non-refundable once payments have been made. Please make sure you are fully happy with any agreements before undertaking any payments for all sponsorships.
2c. All trophy sponsorship and trophy handouts will still take place in the event of a cancelation of the Electric Vehicles Festival Ltd. Alternative arrangements would be made should this occur.
3. All Stand locations are subject to possible change in location according to weather conditions. Display locations will be at the discretion of the show organisers and venue operator.
All Trade will be given a designated and marked out plot, please make sure you do not infringe into a neighbour’s plot, the electric vehicles festival will not be held liable for any disputes should this occur.
4. All Trade/Exhibitors/Clubs must complete a risk assessment before displaying/selling goods.
All Trade and Clubs bringing a gazebo must supply a copy of their Event Stand Public Liability Insurance.
5. All Trade & Club administrators will be provided with vehicle passes. These are not required for visitors displaying their vehicles only a valid vehicle display ticket is required.
5a. All Trade will be provided with Official Trade Passes and Lanyards, this is to provide an assurance for our visitors that you are official trade and also prevent any unsolicited trade.
All Lanyards and Vehicles Passes need to be returned at the end of the event day to a designated drop off point. We are creating an eco-sustainable event long term and will recycle these passes for future events.
5b. Set up times for Trade/Club Stands please refer to our Trade & Club pages of our website for the latest information. This is usually from 7 AM on the day of the event for Trade. All EV Club organisers need to be on site by 8:30 AM latest on the day of the event. Everyone will have the opportunity to set up and familiarise themselves with the event grounds on the day prior to the event date with prior arrangements with the organiser.
5c. Everyone must be organised and ready having fully completed any health and safety protocols including risk assessments prior to when the gates open at 9:30 AM, please be advised visitors are coming from all over the UK and can arrive as early as 8:30 AM.
6. Do not leave valuables unattended. We will not accept any liability for any losses or damage to personal property.
7. Vehicles must not be driven unnecessarily on the event site and all drivers must hold a current full driving licence. Learner and unlicensed drivers are not permitted to drive on site. A speed limit of 5 M.P.H is applicable to ALL vehicles on site. All vehicles must be fully insured. Mechanically powered, passenger carrying model, toy or miniature vehicles are not permitted to be driven on the site.
8. The Electric Vehicles Festival Ltd reserves the right to:
(a) Refuse admission in any circumstances
(b) Evict any person breaching the terms and conditions of entry, committing a criminal offence, behaving in a disorderly manner or in a way that has an adverse effect on public safety, or behaving in an anti-social manner or in a way that causes a public nuisance.
(c) Evict all members of any group of persons where that group is behaving in a persistent anti-social manner.
(d) in order to facilitate the security, safety and comfort of all guests the venue may refuse entry to ticket holders who attempt to enter the Electric Vehicles Festival site, or any surrounding land used by the festival (including car parks) that constitutes the festival footprint, (hereafter the “Electric Vehicles Festival Site”) with contraband goods and / or prohibited articles.
9. Admission is at ticket holder’s own risk. The Electric Vehicles Festival Ltd & Paul Middlicott and the venue will not be held liable for any loss, injuries or damages sustained at the event including damage, theft or losses to property and motor vehicles, if the cause is due to the negligence of the ticket holder or the actions of other patrons or third parties or force majeure.
10.This also includes acts of terrorism. If an act of terrorism The Electric Vehicles Festival Ltd & Paul Middlicott and the venue will not be held liable for any loss, injuries or damages sustained at the event including damage, theft or losses to property and motor vehicles. Including loss of life.
The Electric Vehicles Festival will be following any new guidance and laws put into place regarding best practices laid out by the UK Government, on how to best prepare if an act of terrorism at our event was to take place.
11. We will not accept any liability for any loss, injuries or damages sustained at the event including any persons, vehicles or property caused by natural disaster.
12. Duplicate tickets will not be issued for lost or stolen tickets all tickets are provided online.
13. Tickets are only valid when purchased from official agents. Tickets bought from other sources will be refused admission. Our official Ticket provider for 2024 is Eventbrite please be aware of unsolicited ticketing providers, and only buy your tickets directly via our website or ticketing provider Eventbrite.
14. Tickets are personalised to the named ticket holder and may not be:
(a) Sold or transferred to another person; or
(b) Used by any person for promotional purposes, including as a prize or other reward in a competition or lottery, except with the prior written permission of The Electric Vehicles Festival Ltd & Paul Middlicott.
(c) Purchased by an agent on behalf of his or her principal.
15. Where a ticket has been obtained in breach of clause 14, the obligations of the Electric Vehicles Festival Ltd & Paul Middlicott in relation to the ticket will cease to have effect immediately, in particular:
(a) Any person presenting the ticket may be refused entrance to, or removed without notice from the Electric Vehicles Festival Ltd.
(b) The ticket may be confiscated and there shall be no obligation on the Electric Vehicles Festival Ltd to refund any monies paid for the ticket.
16. Commercial, promotional and trading activities are not permitted on the Electric Vehicles Festival Site without express prior written permission of Paul Middlicott of the Electric Vehicles Festival Ltd.
17. Entrance to the Electric Vehicle Festival Ltd is subject to both the festival’s photography policy and broadcaster internet and filming policy which prohibit the use of photographic or filming equipment on the festival site for commercial gain, without the festival’s prior written consent and this refers to the Electric Vehicles Festival Ltd Terms & Conditions; such that:
a) a person may be denied entry to, or removed from the Electric Vehicles Festival Ltd Site if he or she is found in possession of any equipment capable of taking photographs, making films, sound recordings or broadcasts; or if he or she takes any photograph, makes a film, sound recording or broadcast of anything occurring inside the Electric Vehicle Festival Ltd for commercial gain.
b) a person may enter the Electric Vehicles Festival Ltd Site with equipment referred to in 17(a) above where it is integrated into electronic communications apparatus designed for personal private use (such as a mobile telephone) and/or a personal stills camera, but the person may still be removed in accordance with paragraph 17 (a) Above if they attempt to use this device for commercial gain.
18. Tickets cannot be used as part of any marketing, media, sales promotion, staff reward programme or general competition use whether commercial or non-commercial without prior written permission of the Electric Vehicles Festival Ltd organisers. The marks Electric Vehicles Festival Ltd and the #EV Electric Vehicles Festival logo are registered United Kingdom and European community trademarks and may not be used without the express written permission of Electric Vehicles Festival Ltd UK or Paul Middlicott.
19. As a condition of sale the ticket holder consents to being filmed, photographed and recorded for television, radio, webcast and other public broadcast in any medium and/or for any video or DVD as part of the audience and/or by any CCTV cameras and recordings operated by or on behalf of and made by or on behalf of Electric Vehicles Festival Ltd Events for public safety and security purposes.
20. Anyone under the age of 16 must be accompanied to the Electric Vehicles Festival Ltd by a responsible adult (aged 18 or over, who would usually be the parent, carer, legal guardian or other adult entrusted with the care of that child) who accepts full responsibility for all under 16s attending under their supervision.
INFORMATION & NOTIFICATIONS
1. The “Plan your visit” section of our Website is essential reading before attending the Electric Vehicles Festival Ltd. For advice on personal safety, getting to the festival, and what to bring (and what not to bring) please see WWW.ElectricVehiclesFestival.com
2. Do not buy tickets from street traders or unauthorised agencies. Tickets are security printed and are personal to the ticket holder only. Any attempt to transfer or resell tickets will lead to automatic refusal at the entrance. Beware of forgeries.
3. The Electric Vehicles Festival Ltd and Paul Middlicott accepts no responsibility for goods or services purchased from third party traders.
4. Official merchandise will be available onsite. Please don’t buy from unlawful street traders.
5. Please only use the toilets and urinals provided. Do not pollute the streams and hedges.
6. Please use the litterbins and recycling points provided.
7. Your vehicle may be searched by security personnel at the vehicle gates on entry to the EV Festival car parks; in the car parks themselves; or anywhere on the Electric Vehicles Festival Ltd Site.
8. You may be searched in the car parks or at the entrance. Any items which the organisers consider may be used in an illegal or offensive manner shall be confiscated. Persons suspected of carrying out illegal and/or offensive activities onsite may be searched. Anyone resisting confiscation of disallowed items or disregarding these conditions will face eviction from the EV Festival Site.
9. No animals are allowed onsite, with the exception of dogs which must be kept on a lead at all times. Any mess must be cleaned up and binned or taken home. No dogs should be left in cars on hot or sunny days, a vehicle can heat up in side very quickly.
10. Fireworks, Chinese/flying lanterns, drones, flares and the burning of plastics are not permitted. Please see the Electric Vehicles Festival website for details of other prohibited items.
11. To protect your own safety and those of other guests, please act responsibly.
12. First Aid only will be available on site. The Electric Vehicles Festival Ltd & Paul Middlicott accepts no liability for any injury, claim for damages resulting from any medical treatment onsite.
13. Disabled facilities are available – please refer to our website for further information.
14. Smoking is not permitted in enclosed public areas.
15. The Electric Vehicles Festival Ltd & Paul Middlicott does not offer refunds in the event of lost or stolen tickets or where the ticket holder cannot attend the EV Festival due to reasons beyond the festival’s control. You might consider it prudent to insure the value of your ticket in the event of such loss.
16. Data Protection. The personal information provided as part of your registration will only be used to administer the Electric Vehicles Festival Ltd event.
No information collected through registration will be offered for sale or made available to any third party.
Apart from Trade Stand contact details to arrange future bookings for the Electric Vehicles Festival Ltd. All other personal information will be destroyed once it has been used for administration purposes of the event.
