1: Club/Trade Application Form.
2: Club/Trade Risk Assessment Form.
3: A Copy of the Electric Vehicles Festival Terms & Conditions.
If you are bringing your
Club Gazebo you will require your own Public Liability Insurance
to cover this. When organising this please remember this is just for your own club area and not insuring the whole event. We know this is common sense, but we have experienced this happening before, we do require Clubs with Gazebos to have adequate insurance this is a requirement of our event insurer but we don't want Clubs paying any more than they need to.
You will be required to organise your own displays within your dedicated #EV Club area within the event.
Which will require you to be on site from 8-8:30 A.M to organise and familiarise yourself with your display area, and how the event will be organised for you to receive your members. You will also have the opportunity to do this on the day before with prior arrangements with the event organiser, but you will still be required on site from 8-8:30 A.M latest. Please be aware from past experience with people arriving from all over the UK we do find that some of those displaying will arrive very early, sometimes around 8:00-8:30 A.M. which is why we require Club and Group Display organisers to be available.
The event will be officially open from 9:30 A.M to 5:00 P.M. Tickets will be on sale until 10:00 A.M on the day of the event, with Gates Closing for displaying vehicles at 12:00 giving those organising the group and club displays time to enjoy the event themselves. This only applies to EV Displaying Vehicles and not general visitors, please advise your attendees arriving late they will have to park in the general visitors car parking.
All entrance gates will close at 2:00 P.M giving time for our volunteers to enjoy the event.
If you are bringing your Gazebo etc you will have plenty of time to pack up etc until at least 6:00 P.M.
Because the event will be at our brand new venue in 2024 this will create a new format for the event where the clubs will be fully involved organising their own displays. We will not be doing this for you, our volunteers will be organising the arrival of the non-club displays and general visitors.
We are planning to have a fully publicised plan for the event including showing the area your club will be displayed, this is also why we will not be taking any new club area bookings after February 28th 2024 for our 2024 event, so please, don't leave it until last minute.
The first year at a new venue will always be a new learning curve for how things are organised, but once your Club has done it the once the following year will be easier. Please equally be patient with the organiser this event is organised by one individual and a team of volunteers on the weekend of the event.
I know you will enjoy the new location at Stanford Hall and I will be working harder than ever to create an even bigger experience within EV Club Corner. I have long term plans for the event, many I would love to put into action straight away, but sadly not every dream is possible to be done in the first year at our new venue, and it will be a plan to continually add and improve the overall experience.
But your efforts won't go unnoticed as we are running our Best #EV Club competition with prizes for the top three places. Our event is not just about #EV Clubs displaying but helping to support the clubs through display and competitions. And offering a platform through our event displays to attract even more new members and help support your club.
Please Fill out Forms 1 & 2 (The Risk Assessment is only required if bringing a Gazebo or Stand) and return them to the email address provided.
The Risk Assessment is really simple to fill out so if you have never filled out one before, please don't hesitate to ask us for some help.
Once you have returned the forms we will give you the green light to get planning your Club Area and inviting your members along.
All that is required apart from what is mentioned above is for yourselves and your members to get Tickets to the EV Festival.
When purchasing your tickets for an EV Display space you will be asked which Club you are displaying with, we will do our best to keep Club and Group admins and organisers aware of how many tickets are sold for their group to help you plan your display area. It will be a huge help with our event planning that you can also keep track of your numbers as well.
No Third Party Promoting is allowed within your Club Area. Please enquire about a"Trade Proposition"if you require. All we ask in return is you invite your members to join your Club Area for a Celebration of all Electric Vehicles and enjoy a fantastic day out.
